GDPR - PERSONAL DATA PROTECTION

At LSA Projects Ltd we are committed to storing and processing your data with the care and respect it deserves; this involves keeping only the information we need (your name, company name, business address and an email address or phone number) in a secure customer database along with your mailing preferences and a record of any communications we have had with you.

We love to hear from you by phone and email, but this involves an exchange in personal data, we assume when you call or email us that you are happy to share your email address or phone number with us. In order to give the best service possible to all of our customers from enquiry to aftercare we will store any relevant information on our secure customer database. This information may include your name and either an email address or contact number as well as a shipping address after any orders are placed. This information will be kept for the duration of warrantee period (or longer if you want to keep in touch!) of the product purchased to ensure the best aftercare experience for all of our customers; this may include contacting you about new products you may be interested in as well as new information about products you have purchased or asked about.

Who are we?

LSA Projects Ltd are suppliers of high end wall and ceiling cladding including acoustic and fire protection performance products and lockers and washroom facilities.

What data do we hold?

LSA Projects Ltd stores some personal data from our current and prospective customer base as well as our suppliers and other members of our marketing mailing list.

This data includes:
  • Your name
  • Your company name and business address
  • Your business email address and phone number
  • A record of any correspondence we have had with you

  • If you have worked with us on a project we may also have a mobile number saved from any out-of-office contact that was needed.

    This information has been collected from years of interaction with the architecture, interior design, and construction industry including sales and technical information enquiries by email and telephone as well as face to face meetings and CPDs.

    Where do we keep your data?

    In order to safely store your personal data, we use a secure CRM system that records your mailing preferences as well as a history of your interactions with LSA.

    When will we remove your data?

    Our contact storage system allows us to see how long we have had your data. This means as well as recording your mailing preferences and access or removal requests on a live basis we can make sure we don't keep your personal information longer than is necessary.

    In addition to customers currently working directly with us the personal data of non-customers (those who have made enquiries that have not progressed into sales) is kept for a maximum of 2 years from the closure of that enquiry unless new enquiries have been made in the meantime. Personal data of customers is kept for 5 years (10 for Geschwender sales) in line with the guarantee or life span of our products in order to provide the best level of customer service possible.

    Customers on our Inspiration mailing list will receive our monthly newsletter of case studies of our best installations, product launches and technical information profiles, and details of exhibitions we are attending. We monitor the success of these emails and use this information to remove any inactive subscribers from the list when they stop opening the emails, these contacts are removed from our database unless they fall into the categories above.

    Why do we have your data?

    There are a few reasons we might be keeping your personal data:
  • You could be a potential, current, or previous customer of LSA Projects
  • You could have made a business or technical enquiry
  • You could have an interest in the products or services we provide and be subscriber of our mailing list


  • What do we do with your data?

    We use your data in two ways:
  • To keep in touch throughout our design and sales process of all jobs we are working on together from your initial enquiry to job completion as well as the guarantee period of our products. Keeping your data in our CRM during this gives you the best possible level of service by storing correspondence and project notes on our secure data base that can be accessed by anyone at LSA.
  • For marketing purposes; we like to share information about the great products we sell including supplier profiles, technical product reports, and project case studies. This is also helps us to keep our contact list up to date by tracking responses such as unsubscribes and non-active email addresses to remove incorrect and non-consensual personal data from our system. From time to time we may also share contact information with our established and trusted suppliers so they can directly share product information and international product case studies with you.


  • Why can we process your data?

    Under the new GDPR legislation we can continue to store your personal information for a few reasons:
  • Consent - if you have contacted us with a project or technical enquiry we assume implied consent for us to store this data in order to respond to these requests and keep an up-to-date record of the information we have given you in order to provide the best service possible.
  • Contract - if you have made a sales or business enquiry we need to keep your personal information to perform our obligations to you.
  • Legal Obligation - if we have a current or previous sales contract with you we are required to keep your data for the necessary amount of time.
  • Legitimate Interest - as our database is populated with contacts from the architecture, interior design, and construction industry we assume a legitimate interest in holding your data to contact you about potential projects and in some cases targeted marketing. This basis for processing your data does not affect our time frames for keeping your data outside of the time frames listed above.


  • Your rights

    In accordance with EU Data Protection and GDPR legislation, all of our customers (from enquiry onwards) have the following rights with regards to your personal data:
  • Right to be informed, as per our privacy policy (above) we will keep a record of your contact details as well as what you have enquired about or purchased as well as any company or shipping addresses provided so we can ensure the best aftercare experience possible.
  • Right of access, at any point in your interaction with LSA Projects Ltd you have the right to request a copy of the information we hold about you so you can make sure it's only the information you want us to have.
  • Right to rectification, if any information we hold for you is incorrect or not what you want us to have (we will need a minimum amount of information if you have bought anything from us) we will rectify it as soon as possible.
  • Right to erasure, outside of formal contract (sales and aftersales care) you have the right to erasure from our contact database.
  • Right to restrict processing, if you would like us to store your contact information (so we remember you) but to not contact you.
  • Right to data portability, you can request for us to share your information with other parties (chosen specifically by you).
  • Right to object, you have the right to object to us using or storing your data at all. If you do this we will not be able to work with you.
  • Rights related to automated decision making including profiling, you have the right to not be profiled and processed by robots; we do not have any robots and we look after all our contact information with individual care.

    WEBSITE USERS AND COOKIES

    LSA Projects Ltd uses Google Analytics cookies to record usage on our website to help us improve content, performance, and user experience. We record things like how long you spend on the website, how many pages you visit, which country you live in, and if you are a new or returning visitor. The data kept cannot be used by us to identify specific site users but it may be used by Google to target advertising to you in the future.

    You can control the cookies stored on your device using your browser's privacy settings to remove all historical cookies, refuse all cookies in the future, block or allow specific websites, or allow cookies to work while you are on a website but they are removed when you leave.
